Create a New Group

IMPORTANT NOTE:

Beginning January 10, 2011, the Heritage Clubs Travel Protection Plan is underwritten by Arch Insurance Company, and administered by Travel Insured International ("Travel Insured"). The Travel Insured plan features the same great benefits as before, with important enhancements that will make booking your groups even easier:

  • Mix and match coverages - now you can book the Standard Plan and Deluxe Plan (Cancel for Any Reason) for each group of travelers. No longer do all travelers need to have the same Plan!

  • Create and edit your groups in an Excel Manifest
    - no Internet connection needed!

Any new Groups you create starting January 10, 2011 will need to be created under the Travel Insured plan using the Excel spreadsheet. New premium rates apply. Please note that you do not need a User ID and Password to book groups under the Travel Insured plan, since all Groups are created and edited off-line.

If you have any groups that have been formed prior to January 1, 2011 using the online system under the Travel Protection Plan administered by Trip Mate, you can continue to add travelers to that group and the Trip Mate plan will remain in place until those groups have completed their trips.

If you have collected any premium from travelers in any group prior to January 10, 2011, you must use the Trip Mate Plan for that group; and if you have not created the group online, you must do so IMMEDIATELY. The deadline for creating such a group with Trip Mate is midnight on Sunday, January 09, 2011. As long as the group is created online by the deadline, additional passengers can be added online in the usual manner. Click here to login to the Trip Mate plan.

Beginning on January 10, 2011, Trip Mate will no longer accept any groups formed on or after that date, and you must use the new Travel Protection Plan (Administered by Travel Insured International - see below).

If you have a group for which no premium has been received by you, you must use the new Travel Protection Plan for such a group.

New groups can be created under the new Travel Protection Plan starting on January 10, 2011.

Welcome to the group travel protection plan for Bank Club Members of Heritage Clubs International. On this website you will find links that describe the insurance benefits, along with the link to download a blank Excel Manifest to create new Groups. Save the Manifest on your computer and use it to add/edit your travelers' information later. Remember, this plan is custom-designed for groups and a low net rate is offered, so you can determine the selling price you wish to charge for the insurance.

Just for You
As a Bank Club Member of Heritage Clubs International you can use the HCI Travel Protection Plan today! There is no other qualification for you or your Bank Club. Insured travelers must be residents of the USA or Canada. If you want to earn additional income and make sure your travelers get both Peace of Mind and the travel protection they deserve, HCI Travel Protection Plan is for you!

Net Rates
With low net rates, HCI Bank Club Members set their own selling price. When you remit the net premium to Heritage Clubs International, you keep the Mark-up as your revenue.

How it Works

Offer the Insurance to your Travelers

Determine the Selling Price of the Insurance -- take the Net Premium and apply your Mark-up. Distribute the Description of Coverage (Brochures) to all of your travelers. The Description of Coverage (Brochure) serves as each Traveler's evidence of coverage and includes important information on filing a claim. Include the insurance selling price in the trip price, or include it as a separate item on the Traveler's invoice.

Protect Yourself: Advise your Traveler that the insurance is included in the price of their trip, but the coverage can be declined if the Traveler decides not to take the insurance and a signed Waiver Form is submitted by the Traveler. The Waiver Form is for your protection.

Create the Group on Your Computer

Create the Group by downloading a blank Excel Manifest here: http://www.spibrokers.com/Heritage/manifest.xls

Add Travelers

Once you create the Group, add the travelers to your Excel Manifest. You enter (one person at a time) the traveler information for all Travelers who selected the insurance and paid their deposit. Be sure to read the Instructions for completing an Excel Manifest

We strongly recommend that you collect the full premium from the Traveler at the time of initial trip deposit.

Edit Travelers

Group data may be edited in your Excel Manifest if you need to add travelers or edit existing travelers 30 days prior to departure (the last date for submitting the final premium payment). Please refer to the Instructions for guidance. Remit the Net Premium to HCI

Once at least 7 travelers have been added to the Excel Manifest, you may submit payment for the plan by check, along with a copy of the Excel Manifest. Please submit monthly payments as you build the group enrollment (minimum of 7 travelers required for the first payment). Important: Final payment must be received by Heritage Clubs International no later than 30 days prior to the Scheduled Group Departure Date. If you have any questions about payments, or cancellations and changes needed after your premium is paid, immediately contact Amy at Heritage Clubs International (Tel: 877-881-0229).

After the final premium payment has been received and processed, you will receive a group enrollment confirmation via email.

Submit your net premium payments to HCI as often as you want, such as whenever you add travelers to the Excel Manifest, but remember -- all premium payments must be received by Heritage Clubs International at least 30 days prior to the departure date.

Mail your net premium payment, using a personal or company check (payable to "Heritage Clubs") along with a copy of the Excel Manifest to Heritage Clubs International, P.O. Box 23600, Richfield, MN 55423-0600, Toll Free: 877-881-0229, Tel: 952-835-6543, Fax: 952-835-2295.

Insurance premium is non-refundable, unless the entire group trip is cancelled by the HCI Bank Club Member.
